Computeration Case Study
Financial Management Implementation
Our Client
This privately-held small business was founded in 1971. It experiences modest annual growth. A number of years ago, a custom application was developed to track customer survey information. The custom application and the legacy DOS accounting software lacked integration, causing duplicate entry of customer information.
The Solution
Our client had been utilizing a DOS legacy accounting software. The system was not adequate for the growing needs of the company, and the upgrade price was too prohibitive. The desire was also to bring the software into a Windows environment, which the office staff was already familiar with. Small Business Financials:
- Replaced a DOS accounting system.
- Provided a re-designed general ledger account code which better fit the company’s needs.
- Allowed for the migration of general ledger balances.
- Allowed for the migration of vendor master files utilizing a more consistent vendor identification number.
- Allowed for the migration of customer master files utilizing a more consistent customer identification number.
- Allowed for the migration of item master files.
The system was installed on the server, data was migrated, and users were trained in less than 10 days. A two-user license was purchased with FRx Financial Reporting and the Payroll module.
The Benefits
- Small Business Financials provides single entry for multiple processes, streamlining the transfer of quotes to work orders to invoices.
- Improvement was gained with the ease and timeliness of management reporting of account balances, customer information, and inventory levels.
- The centralized database for multiple accounting functions replaced multiple systems and manual functions, reducing staff time.
- Small Business Financials provides a familiar graphical user interface, so staff training time was reduced.
The Challenges
- Our client hired a new accountant/office manager who started the same day that the implementation began. Not only did the new hire have to learn new software but also the company’s business processes and company history.
- Customer data was stored in multiple databases. Computeration staff worked to combine the databases and eliminate duplicates. At the same time, customer identification numbers were redesigned.
